Command Contacts just got a great update! There is a new set of filters to work with, along with a new Advanced Filtering system. This not only allows you to filter for new criteria, but gives you more flexibility to filter by what you need.
To access filters, learn how to use Advanced Filters, and to see a list of all available filters and options:
Access
1. Log in to https://agent.kw.com with your Keller Williams login credentials.
2. Click the Contacts icon, , on the left side of the page, to access your contact list.
3. (Teams Only) If you are on a team, click your profile picture, at the top right of the page, and ensure you have the correct account selected (team or personal).
4. Above your database, click Filters besides the search bar.
5. The Filters Drawer will appear, on the right side of the page, where you can use any of the available filters. In addition, you can click Advanced, at the top right of the drawer, to open Advanced Filters which give more options for filtering your database.
6. Within Advanced Filters, you can select fields, conditions unique to those fields, and a value (some filters don't have either a condition or value option - see below). As you add filters to the list, the system puts an "And" statement between each. That means a contact must meet all of the conditions and values to be included. As you are working with these, you have the ability to remove specific filters and to Switch to Basic Filters. Click Apply when you have set the filters just how you want them.
In the next section, we lay out all of the available filters and their Advanced Filter options:
Filters List and Advanced Filter Options
Contact Type - select whether you want to view All (Leads and Contacts), Contacts Only, or Leads Only. Advanced Filter options include:
- Is Contact
- Is Lead
Tags - select any number of Contact Tags. The database will only display contacts with those tags applied. Advanced Filter options include:
- Includes Any - display the contact if any of the selected tags are applied.
- Includes All - display the contact if all of the selected tags are applied.
- Excludes Any - display the contact if any of the selected tags are not applied.
- Excludes All - display the contact if all of the selected tags are not applied.
- Is Empty - display the contact if there are no tags applied.
- Is Not Empty - display the contact if there is at least one tag applied.
Lead Source - select any number of lead sources. The database will only display contacts with those lead sources applied. Advanced Filter options include:
- Includes Any - display the contact if it has any of the selected lead sources.
- Excludes Any - display the contact if it does not have any of the selected lead sources.
- Is Empty - display the contact if there is no lead source.
- Is Not Empty - display the contact if there is a lead source.
Agent Site Connection - select whether you want to view contacts that are Connected or Not Connected to you through your KW Site or KW App. Advanced Filter options include:
- Is Connected - display contacts that are registered to your KW App or Site.
- Is Not Connected - display contacts that are not registered to your KW App or Site.
Agent Site Connection (Teams - Enhanced/Unlimited Only) - when you have Enhanced or Unlimited Permissions in your team Command account, this filter gives the additional ability to filter based on connections with specific team members, in addition to options for Not Connected or Connected to Anyone On My Team. Advanced Filter options include:
- Includes Any - display contacts that are registered to the KW App or Site of the selected agent(s).
- Excludes Any - display contacts that are not registered to the KW App or Site of the selected agent(s).
- Is Connected - display contacts that are registered to any team member's KW App or Site.
- Is Not Connected - display contacts that are not registered to any team member's KW App or Site.
Assignment (Teams - Standard Only) - when you have Standard Permissions in your team Command account, the filter statement starts off by saying "I'm The..." which gives the option for Collaborator and/or Primary Assignee. Advanced Filter options include:
- I am the Primary Assignee
- I am the Collaborator
Assignee (Teams - Enhanced/Unlimited Only) - when you have Enhanced or Unlimited Permissions in your team Command account, you will see a filter option for each associate on the team. This filter will display contacts assigned to the selected team member(s). Advanced Filter options include:
- Includes Any - display contacts registered to any of the selected agents' KW App or Site.
- Excludes Any - display contacts not registered to any of the selected agents' KW App or Site.
Collaborator (Teams - Enhanced/Unlimited Only) - when you have Enhanced or Unlimited Permissions in your team Command account, you will see a filter option for each associate on the team. This filter will display contacts that the selected team member(s) are set as a Collaborator. Advanced Filter options include:
- Includes Any - display the contact if any of the selected team member(s) are set as a Collaborator.
- Includes All - display the contact if all of the selected team member(s) are set as a Collaborator.
- Excludes Any - display the contact if any of the selected team member(s) are not set as a Collaborator.
- Excludes All - display the contact if all of the selected team member(s) are not set as a Collaborator.
- Is Empty - display the contact if there are no team member(s) set as a Collaborator.
- Is Not Empty - display the contact if there is at least one team member set as a Collaborator.
Owner (Teams - Enhanced/Unlimited Only) - when you have Enhanced or Unlimited Permissions in your team Command account, you will see a filter option for each associate on the team, as well as by contacts owned by the team. This filter will display contacts owned by the selected team members and/or the team. Advanced Filter options include:
- Includes Any - display contacts owned by the selected team members and/or the team.
- Excludes Any - display contacts not owned by the selected team members and/or the team.
Owner (Teams - Standard Only) - when you have Standard Permissions in your team Command account, filter by contacts you own and/or contacts that are owned by the team that you have access to. Advanced Filter options include:
- Team (your team's name) - only display contacts that are owned by the team that you have access to.
- Me (your name) - only display contacts that you own.
Neighborhoods - this filter allows you to search for and select any number of neighborhoods. The basic filter will display contacts that have the selected neighborhoods on their contact record, plus there are options for "Any Neighborhoods" and "No Neighborhoods." Advanced Filter options include:
- Includes Any - display the contact if any of the selected neighborhoods have been added to their contact record.
- Includes All - display the contact if all of the selected selected neighborhoods have been added to their contact record.
- Excludes Any - display the contact if any of the selected neighborhoods have not been added to their contact record.
- Excludes All - display the contact if all of the selected neighborhoods have not been added to their contact record.
- Is Empty - display the contact if there are no neighborhoods added to their contact record.
- Is Not Empty - display the contact if there is at least one neighborhood added to their contact record.
Recently Active - the Recently Active metric is based on of the date a contact last interacted with your KW Site or App. This will advance when a contact logs in to either, or takes an action on your site or app that logs on the contact timeline.
This filter gives the ability to select either "Longer Than" or "Within Last," then gives you the ability to type in a number, and select either Days, Weeks, Months or Years. Advanced Filter options include the same options as the basic view.
Created - the Created metric is based on the date a contact was captured or entered in Command.
This filter gives the ability to select either "Longer Than" or "Within Last," then gives you the ability to type in a number, and select either Days, Weeks, Months or Years. Advanced Filter options include the same options as the basic view.
Modified - the Modified metric (corresponds to the Updated column) is based on the last date a change was made to a contact, or that a new contact timeline event was logged. If neither of those things have occurred, it will utilize the Created date here.
This filter gives the ability to select either "Longer Than" or "Within Last," then gives you the ability to type in a number, and select either Days, Weeks, Months or Years. Advanced Filter options include the same options as the basic view.
Last Contacted - the Last Contacted metric is based on the date you last interacted with a contact. This includes any email sent using Command Email (SmartPlans, Client Updates, Email Campaigns, and sharing offer comparisons), text messages sent using Twilio in Command, and interactions you log manually on a contact (calls, notes, mail, texts, emails, and meetings).
- The exception is any email or notification the system sends to contacts that come from the KW Consumer platform. If your client sets up alerts for things like saved searches or collection updates, and the system will send those emails using a no-reply email address.
This filter gives the ability to select either "Longer Than" or "Within Last," then gives you the ability to type in a number, and select either Days, Weeks, Months or Years. Advanced Filter options include the same options as the basic view.
SmartPlans - filter based on finding contacts that are currently active on a SmartPlan, or not. This filter gives the ability to select "Any SmartPlan," "No SmartPlans," or you can select a specific SmartPlan (or multiple). Selecting a specific SmartPlan would give you a list of all the contacts that are currently active on that SmartPlan. If you select multiple SmartPlans, the contact would have to be currently active on all of the selected SmartPlans to appear.
Once you've added a contact to a SmartPlan, when the last step is completed, they are no longer considered "active" on that SmartPlan, and this filter will not recognize that the contact was on that SmartPlan in the past. |
Advanced Filter options include:
- Includes Any - display the contact if they are currently active on any of the selected SmartPlans.
- Excludes Any - display the contact if they are not currently active on any of the selected SmartPlans.
- Includes All - display the contact if they are currently active on all of the selected SmartPlans.
- Excludes All - display the contact if they are not currently active on all of the selected SmartPlans.
- Is Empty - display the contact if they are not currently active on any SmartPlans.
- Is Not Empty - display the contact if they are currently active on at least one SmartPlan.
Birthday - filter based on the birthday entered entered for a contact. This filter gives the ability to select either "Within Next," "Within Last" or "Longer Than," then gives you the ability to type in a number, and select either Days, Weeks, or Months. Advanced Filter options include:
- Is Within Next
- Is Within Last
- Is Longer Than
- Is Empty
- Is not Empty
Home Anniversary - filter based on the home anniversary date entered entered for a contact. This filter gives the ability to select either "Within Next," "Within Last" or "Longer Than," then gives you the ability to type in a number, and select either Days, Weeks, or Months. Advanced Filter options include:
- Is Within Next
- Is Within Last
- Is Longer Than
- Is Empty
- Is not Empty
Company - filter based on the Company associated with a contact. Use the search on the filter and select any number of companies. The database will only display contacts with those companies added to their contact record. Advanced Filter options include:
- Includes Any - display the contact if it has any of the selected companies.
- Excludes Any - display the contact if it does not have any of the selected companies.
- Is Empty - display the contact if it does not include a company.
- Is Not Empty - display the contact if there is a company added.
Primary Address - filter based on a contact's Primary Address. The basic filter includes a search box and will pull results based on whether even a part of a contact's address matches what you typed. Advanced Filter options include:
- Contains - includes a search box and will pull results based on whether even a part of a contact's address matches what you typed.
- Does Not Contain - includes a search box and will pull results based on whether even a part of a contact's address does not match what you typed.
- Is Empty - display the contact if it does not have a primary address.
- Is Not Empty - display the contact if it has a primary address.
Primary Phone - filter based on a contact's Primary Phone number. The basic filter includes a search box and will pull results based on whether even a part of a contact's phone number matches what you typed. Advanced Filter options include:
- Contains - includes a search box and will pull results based on whether even a part of a contact's phone number matches what you typed.
- Does Not Contain - includes a search box and will pull results based on whether even a part of a contact's phone number does not match what you typed.
- Is Empty - display the contact if it does not have a primary phone number.
- Is Not Empty - display the contact if it has a primary phone number.
Primary Email - filter based on a contact's Primary Email Address. The basic filter includes a search box and will pull results based on whether even a part of a contact's email address matches what you typed. Advanced Filter options include:
