We can now create repeating task checklist items in a specific Opportunity. This is great if you want to set up a recurring check-in, at any point of the Opportunity life cycle. You will see these repeating tasks populate not only in the Opportunity Checklist, but also the Tasks Applet. When you complete the current occurrence of the repeating task, the new one will populate (after a page refresh) and you will still see the old one (completed) in the checklist, so you will be able to keep track of every one you completed.
To create a repeating task for a specific Opportunity:
Access
1. Log in to http://agent.kw.com with your Keller Williams login credentials.
2. Click the Opportunities icon, , on the left sidebar.
3. Click the Phase this Opportunity is in to access the Stages.
4. Find the Opportunity, and at the bottom right of the Opportunity Card, click the Checklist Button.
5. Click Create Task, at the top right of the modal.
6. At the top of the form, enter the Task Name, select the Phase and Stage (it will auto-populate with the current Phase/Stage), choose whether this should be included in Client Updates, and select a Task Type (Call, Text, Other).
7. Next, you can enter a Description, Hyperlink, set the Priority Level and Due Date.
- The due date you set here will set the due date standard for the future tasks that are populated with the repeat settings.
8. Click in the Repeat field and select how often you want this task to populate:
- Daily - the task will repeat every day
- Weekly - the task will repeat weekly, on the day of the week you are creating this task (Weekly on Tuesday)
- Monthly - the task will repeat monthly, on the day of the month you are creating this task (Monthly on the third Tuesday)
- Yearly - the task will repeat once per year, on the exact date you are creating this task (Yearly on October 7th)
- Custom - this option gives you flexibility to set the repeat based on type of repeat (day, week, month, year), day of repeat, and gives you the ability to set a custom ending setting (never, specific date, number of occurrences)
9. Once you are done, click Create, at the bottom of the form.
You will see the new repeating task populate not only in the Opportunity Checklist, but also the Tasks Applet. When you complete the current occurrence of the repeating task, the new once will populate (after a page refresh) and you will still see the old one (completed) in the checklist.
- If you move the Opportunity to a new Phase/Stage, the next occurrence of the repeating task will appear in the new Phase/Stage. This means the repeating task will effectively move with through the Phases/Stages of the Opportunity, though it might take you completing the previous one to see it move.
- If you want to archive the task, go to the Tasks Applet to do it. This will give you an option to either archive the occurrence or the entire series.
