As you share your KW Agent Site and App, you have the ability to create saved searches for your contacts. With saved searches, you can set a range of search criteria for areas your client is interested in. The saved searches that you create will appear in the Saved section of both your Site and App, and your contacts will be able to see updated listings within these saved searches in the Feed section of your site or app.
There is an consent and approval process for the first saved search you create for a contact, if they are not already registered on your KW App or Site. The system will send the contact an initial email, getting their consent to receive saved search emails, as well as letting them know the details of the new saved search.
- After the initial consent process, contacts won't have to approve future saved searches you create. They will just receive an email letting them know you created one for them, and the details around the parameters.

You also have the option to set up email notifications for these saved searches, which will let them know when there is a new or updated listing within the search criteria set. There are several email frequencies to choose from and this is a great way to keep your clients informed about listings in their desired search areas. Keep in mind, they have the ability to override any notification frequency you set when creating a saved search for them.
To create a saved search for your contacts:
Create a Saved Search
1. Log in to https://agent.kw.com with your Keller Williams login credentials.
2. Click the Contacts icon, , on the left sidebar.
3. Find and select the contact you want to add a Saved Search for.
4. Click the Saved Searches tab, at the top right of the contact record.
5. Click Create Saved Search.
Search Location and Criteria
1. Enter the search location. There are a few ways to set the search location:
Neighborhood - select one neighborhood to use as the saved search locations. Search neighborhoods by name, or click Find on Map to use the map to find and select one neighborhood to include. Once you have selected your neighborhood, click Close Map.
Zip Code - use the search to select one zip/postal code, from the drop-down, to use as the saved search location. You can only select one zip/postal code in this way.
City - use the search to select one city, from the drop-down, to use as the saved search location. Do not use the "Find on Map" button as that will open the neighborhood map and a street name search.
School Attendance Zone - this allows you to create a saved search based on the attendance area for a specific school. Search for a specific school (e.g. Round Rock High School, Bluebonnet Elementary School, etc.) and select it from the drop-down, to use as the saved search location. Do not use the "Find on Map" button as that will open the neighborhood map and a street name search.
Custom - use this option to draw your own custom boundary to use as the search location, click the Draw on Map button to select the area. You must use one continuous line that meets back up with the starting place, but you can get creative with the shape (like using a figure eight to capture to close areas). Click Apply when ready.
Property Criteria
1. In the Property Criteria section, fill out any search criteria that fits the needs of the contact.
2. Click Next, at the bottom of the form.
Saved Search Title and Notification Frequency
1. Enter a Saved Search Title.
2. If you want to include regular email notifications for this saved search, click the Send Email Notifications toggle.
3. Set the Email Frequency.
Instant - as soon as there is a new or updated listing, within this search criteria, the system will send the client highlighting what's new. This will happen within 30 minutes of the change being made.
Daily Summary - this will send a regular summary email, with listings in this search criteria, at 9 AM CST, every morning.
Weekly Summary - this will send a regular summary email, with listings in this search criteria, at 9 AM CST, every Monday morning.
Bi-weekly Summary - this will send a regular summary email, with listings in this search criteria, at 9 AM CST, every other Monday morning.
Monthly Summary - this will send a regular summary email, with listings in this search criteria, at 9 AM CST, on the 1st day of each month.
While you can set the initial email frequency, your clients will be able to edit this and even use additional push notifications on the KW App. Once a client edits the frequency of this agent created saved search, you will no longer be able to make edits to the email frequency and they will have full control over when they get updates. |
4. Click Create Saved Search.
Contact Consent for Saved Searches
If a contact is registered on your KW App or Site, they have already consented to receive emails from you, and are automatically able to receive Saved Search emails from you. |
1. As soon as you click to create the saved search, the system will send an email to the contact letting them know that you created the saved search. It will include a link to accept saved searches created by you, as well as a link to create an account on your KW Site/App (optional).
They will need to click Yes, I would like to receive updates! to participate in the saved searches you share with them in the future.
- In their Contact Record, in Command, you will see a Pending Acceptance status appear (you'll need to refresh the page, in the Contact Record to see the status) above the saved search you just created. You will not be able to create any new saved searches for this contact until they accept.
If they click to accept saved searches, you will see the saved search status change to Accepted, and will see the ability to create new saved searches for this contact in the future.

If the contact doesn't take action, the link for them to accept saved searches will expire after 30 days. Once this happens, you will see an Expired status appear in the Saved Search tab, as well as a Resend Email link to resend the consent emails right next to it.
