In your team Command account, what you can export depends on who the owner of the contact is, and your permission level, in the team Command account:
- Team-Owned - only associates with Unlimited permissions can export team-owned contacts, no matter who the primary assignee is.
- Agent-Owned - all team members can export contacts that they own using the Export All Owned Contacts options, though not through the bulk action export functionality (see the Export Selected Team Contacts section below). The Rainmakers and associates with Unlimited permission are also able to export the contacts that are owned by another agent, in the team Command account.
When you have Unlimited permissions, you will see extra options for exporting team-owned contacts (see below). Remember, this is only for the team Command account. You will still have full control over the contacts you can export in your personal Command account, be purposeful about the account you are accessing, when exporting contacts.
To export contacts in your the team Command account:
Access
1. Log in to https://agent.kw.com with your Keller Williams login credentials.
2. Click your name, at the top right of the page, and ensure that your team is selected, not your personal account.
3. Click the Contacts icon, , on the left sidebar.
Export All Team or Owned Contacts
1. Click the three dots to the right of the Add Contact button, and choose one of the export options (the options available vary depending on your permission level):
When you export mailing labels as a PDF, the size and spacing is equivalent to Avery 5160, or 1" x 2-5/8" - 30 per Sheet. |

2. A confirmation message will appear confirming that the export was successful.
3. Once the export is finished, you will receive a notification. If you refresh the page in Command, you will also see a Command notification. Click the Command Notifications icon, , and then click the link to download the export file.
The amount of time it will take for the export to take place is dependent on the number of contacts you are exporting. |
Export Selected Team Contacts
Only Rainmakers and team members with Unlimited permissions have the ability to select contacts and use bulk actions to export team contacts, even contacts they are the owners of. For team members with Enhanced or Unlimited permissions, use the workflow outlined in the section above, to export all owned contacts. |
1. Use filters and the search to narrow the list, then check the box next to the name of contacts (or use the checkbox next to the Name field header to select all on the page) to select the contacts you would like to export.
When exporting in this way, you can select and export up to 50 contacts at a time, by default. You have the ability to increase the number of contacts you can see on each page, which will allow you to select up to 500 contacts at a time. |
2. Click the Bulk Actions drop-down and select one of the export options:
- Export - doing this will export the selected contacts, regardless of ownership, in a CSV spreadsheet format.
- Export Mailing Labels - doing this will export mailing labels for the selected contacts, regardless of ownership, in a CSV spreadsheet format with the address fields separated.
- Export Mailing Labels as PDF - doing this will export mailing labels for the selected contacts, regardless of ownership, in a traditional PDF mailing label format.
3. A confirmation message will appear confirming that the export was successful.
4. Once the export is finished, you will receive a notification. If you refresh the page in Command, you will also see a Command notification. Click the Command Notifications icon, , and then click the link to download the export file.
The amount of time it will take for the export to take place is dependent on the number of contacts you are exporting. |
You will then see the export file in your Downloads folder, on your computer.
