At the end of 2019, Keller Williams transitioned compliance management from Dotloop to Command. With this transition, the free Market Center admin accounts were removed, along with easy access to the historical transaction data.
That being said, if your Market Center is being audited or issued a subpoena and needs to access historical transaction documents, you have the ability to request these documents from KW Support. KW Support will then be able to give you access to a Dotloop portal, which will allow you to pull the documents you need from that platform, for a given time frame.
Through this Dotloop portal, we only have access to documents that were added or managed in Dotloop, at the Market Center level, before September 15, 2019. If you need access to documents that were added or managed in Dotloop after this date, reach out to Dotloop Support for help.
Only the MCA of your Market Center can make this request. This portal will give access to documents at the Market Center level, not the individual agent level. For that reason, we will limit these requests to MCAs and will only send the link to the Dotloop portal to the KLRWxxx@kw.com email address.
To get started with this process, have the MCA of your Market Center email the request to KW Support at email@example.com. Either way, be sure to include the following information in the request:
- The period of time you are looking to access to pull documents from.
- The name of your Market Center and your MC number.
- The urgency of the request. Is there a deadline for you to provide these documents?
Support will take the urgency into consideration and will work with you to get you access to the Dotloop portal, in the time frame you need. They will always email the link to the Dotloop portal to the KLRWxxx@kw.com email address, which your MCA should have access to.
In the future, if you want a better way to store transaction documents and data that are housed in Dotloop, there is an application in the KW Marketplace that you can purchase, which will allow you to sync Dotloop to Google Drive, using API Nation. This won't help with your current request, but would eliminate the need for this type of request, in the event of future audits or subpoenas.
