SmartPlan text messages are sent out within the window of 10am-7pm CST. If an agent attempts to start one at 7pm, although it appears that the text should send immediately, it may be held from being sent until the next day between 10am-2pm CST. Emails do not have a time restriction and are sent out when the email step is executed. |
In the team Command account, if a team SmartPlan is active (active team SmartPlan - you have added team contacts to the SmartPlan), the content is not fully editable. Rainmakers and team members with an Enhanced or Unlimited permission level can change the name of the team SmartPlan, email and text content, and task descriptions. That being said, they will not be able to add, remove, or reorder steps.
- Learn how edit an inactive team SmartPlan.
The Monthly/Bi-weekly Neighborhood Nurture and Quarterly Call SmartPlans are not editable. These SmartPlans do not include content to edit. |
To edit an active team SmartPlan:
1. Log in to https://agent.kw.com with your Keller Williams login credentials.
2. Click your name, at the top right of the page, and ensure that your team is selected, not your personal account.
2. Click the SmartPlans icon, , on the left side of the home page.
3. From the SmartPlans list, find the plan you are going to edit and click the Edit icon, , in the Actions column.
Edit the Content
You will then see the steps included in the SmartPlan, and you can edit the content, within each step, that will be sent out. At this point, we are not able to edit or add the actual steps that are in the list (since their are contacts added), just the content.
When editing an automated text, you will see two message types:
- Static - with this option, you can set one text message that will be sent in this step, which will repeat if the SmartPlan repeats.
- Dynamic - with this option, you can add multiple text messages for the same step. Each time the SmartPlan repeats, it will send a different text message to your contact, when this step is triggered.
When editing an email step, you will see two email types:
- Simple - with this option, you will just type out your email message and you have some basic formatting tools available.
- Designs - with this option, you will be able to select a template from Designs and edit it from within the SmartPlan editor.
- The system will pull email designs from the team design library, not any one team member's personal account.
If you reach your Command Email limit and upgrade your Command Email Subscription in the middle of a SmartPlan email, any email that was supposed to trigger but failed will not be retried. The failure will be written to the Contact Timeline and the SmartPlan will move on to the next step. |
- You will see Merge Fields (e.g. {contact.first.name}, {contact.last.name}, {contact.email}, ect.) in task, call, email and text steps. These will auto-populate with information from the contact record, and make a more personalized message. To add your own Merge Fields, click the Merge Fields icon, , and select from the drop-down list.
4. Once you have made edits, click the check mark, at the bottom right of the step, to save your changes.
5. If you need to add, remove or delete steps from this SmartPlan, you will have to duplicate it (using the Duplicate SmartPlan button on the right side of the page), fully edit the new SmartPlan, and add contacts to the new SmartPlan once you are finished editing.
Certain SmartPlans, such as the My Birthday and My Home Anniversary SmartPlans, are not fully editable. You have the ability to edit the content of the texts, emails, and reminders, but you will not have the ability to add or remove steps. |
6. Once you are completely done editing the content of this SmartPlan, click Save, at the top right of the page.
